The Personal Data Protection Act 2010 (PDPA) sets the rules for how Malaysian businesses collect, store and use personal information. Pilates studios hold more of it than most owners realise: names, IC or passport details for some memberships, phone numbers, birthdays, and health notes about slipped discs, scoliosis, pregnancies or post-surgery recovery. Under the PDPA, information about a person’s physical or mental health is sensitive personal data. You generally need the client’s explicit consent to process it.
The rules got stricter in 2025. Amendments that took effect in stages up to June 2025 require businesses to notify the Personal Data Protection Commissioner as soon as practicable after a data breach. They also give clients the right to ask for their data to be moved to another provider and raise the maximum fine for breaching the data protection principles from RM300,000 to RM1 million, according to Mayer Brown. Larger operators may also need to appoint a data protection officer.
If client health notes currently sit in WhatsApp chats on your phone and in a shared Google Sheet, moving them into one secure system is a sensible first step. When you evaluate software, ask where client data is stored, who on your team can see it, and how you’d export or delete a client’s records on request. 4. e-Invoicing
LHDN raised the e-Invoice exemption threshold from RM1 million to RM3 million in annual revenue, effective 1 September 2026. Most single-location studios fall below that line for now.
Franchise and group setups need a closer look. According to 3E Accounting, e-Invoicing can still apply below the threshold if your company has a corporate shareholder, a holding company or a related company earning above it. If your studio grows past RM3 million, you’ll need to start issuing e-Invoices from 1 January of the second year after you cross it.
